Squirrel Brain, Chickadee Soul – QC Retreat Policies

1. Payment & Registration

  • Full Payment Required at Registration
    • Your spot is confirmed only once full payment is received.
    • Spaces are limited and available on a first-come, first-served basis.
  • Non-Refundable Payments
    • All payments are final and non-refundable.
    • If you are unable to attend, you may transfer your spot to another person.
    • If the retreat is canceled due to unforeseen circumstances (e.g., extreme weather, illness, or venue issues), a partial refund or credit for a future retreat may be offered.

2. Cancellations & Refunds

  • If You Need to Cancel:
    • Before February 14, 2025 → You may transfer your spot to another person by notifying the organizer.
    • After February 14, 2025 → No refunds or transfers unless the retreat is full and someone can take your spot.
    • If You Do Not Show Up → No refunds or credits will be issued.
  • If the Organizer Cancels the Retreat:
    • In the rare case that the retreat is canceled, you will be offered either:
      • A full refund (excluding transaction fees, if applicable).
      • A credit toward a future retreat.

3. Private Room Availability

  • There is only one private room available (first come, first served).
  • If the private room is no longer available after your registration, you will be contacted to adjust your selection.

4. Participation & Conduct

  • Respectful & Inclusive Environment
    • This retreat is a safe space for all participants, regardless of background, identity, or experience level.
    • Participants are expected to engage with kindness, respect, and consideration for others.
    • Any disruptive, harmful, or discriminatory behavior will result in removal from the retreat without a refund.
  • Commitment to the Retreat Schedule
    • Participants are expected to be fully present for the retreat experience.
    • Late arrivals and early departures are discouraged unless pre-arranged.

5. Meals & Dietary Preferences

  • Group-Prepared Meals
    • Meals are prepared communally, and all participants will be asked to contribute to meal preparation and clean-up.
    • If you prefer to opt out of group meals, you are responsible for your own food.
  • Breakfast Add-On ($10/day, optional)
    • Local breakfast options include pastries, eggs, and fresh fruit.
  • Dietary Accommodations
    • Vegetarian, vegan, gluten-free, and allergy-conscious options will be available.
    • If you have severe allergies or specific dietary needs, please communicate them in advance.

6. Arrival & Departure

  • Check-In: Friday, February 28, 2025 – from 5:00 PM
  • Retreat Concludes: Sunday, March 2, 2025 – at 2:00 PM
  • Participants are responsible for their own transportation to and from the retreat venue.

7. Liability & Assumption of Risk

  • Personal Responsibility
    • By registering, you acknowledge that participation in this retreat is voluntary and that you are responsible for your own physical and emotional well-being.
    • The facilitator and venue are not liable for any injuries, lost items, or unforeseen personal expenses during the retreat.
  • Health & Safety
    • If you are feeling unwell before the retreat, you are encouraged to notify the organizer immediately.
    • If you experience any health concerns during the retreat, you are responsible for seeking appropriate medical care.

8. Photography & Media

  • Photos and videos may be taken during the retreat for future promotional purposes.
  • If you do not wish to be photographed, please inform the facilitator upon arrival.

Final Agreement

Before submitting your registration, you will be required to acknowledge and agree to all retreat policies.
